Event management companies in India: list with contacts

Planners, decorators, caterers and venues, who sells to them, and lists by city.

Who puts an event together

An event management companies list is rarely about one kind of business. A wedding, a dealer meet or a product launch is built by several local firms, and most of them can also be hired directly:

  • Event planners and management companies, who take the brief and the budget and hire everyone else. Some do only weddings; others handle corporate events, conferences, exhibitions and incentive trips, often grouped as MICE.
  • Tent houses and decorators, who supply pandals and shamianas, stages, furniture, lighting, flowers and décor. In many towns the tent house is the event company.
  • Caterers, from home-style cooks to large outfits that feed thousands at a wedding.
  • Banquet halls, lawns and wedding venues, many with their own tie-ups with caterers and decorators.
  • Photographers and videographers, now including drone, candid and pre-wedding shoots.
  • Sound, light and LED screen hire, DJs, artists and anchors, and smaller trades such as mehendi artists, makeup artists and invitation printers.

A company planning its annual dealer meet may hire one agency for everything. A family in a smaller city usually deals with the tent house, the caterer and the hall one by one. That is why a useful list covers all of these trades, city by city.

Where to find event companies

There is no national register of event companies. The free sources are local: wedding and event listing sites, social media pages (most decorators and photographers show their work on Instagram), the vendor lists that venues keep, and city associations of tent dealers and caterers. Hotels and exhibition organisers know the bigger agencies.

Some licences leave a trail, though not one you can download:

  • caterers need FSSAI registration or, above a certain size, an FSSAI licence;
  • events with loudspeakers need police permission, and the noise rules bar loudspeakers between 10 pm and 6 am, except in closed premises and on a few days a state may allow;
  • large temporary structures and gatherings may need clearance from the local fire department;
  • serving liquor at an event needs a temporary licence from the state excise department in most states, and playing recorded music in public may need licences from the copyright societies.

An event company that handles these well saves its client trouble, so ask about them when you hire one.

Our event and wedding services lists

We sell each trade separately, so you can buy the ones you sell to. The main list, Tent Houses & Event Decorators, has 16,143 tent houses and decorators in 157 cities. 91% have a mobile number and 97% an address; 67% name the locality, handy for planning visits by area. Email is less common in this trade (29%), so plan on calls, visits and WhatsApp messages to those who agree to them. Most rows are in Delhi, Mumbai, Hyderabad, Bengaluru and Pune. Small event firms change numbers often, so check a sample before a big campaign.

Who sells to event companies

  • Equipment makers and dealers: tent fabric and aluminium hangar structures, truss and staging, LED walls, lighting, generators, banquet chairs and tables, crockery and buffet counters.
  • Rental partners who hire out LED screens, sound, air-conditioned tents and mobile toilets to smaller event firms in peak season.
  • Floral and décor suppliers: fresh and artificial flower wholesalers, props and fabric sellers.
  • Services: event software and ticketing, insurance for equipment and events, transport, security staff and housekeeping.
  • Hotels and venues that want planners to bring them weddings and conferences. Our hotels database guide looks at venues from the other side.
  • Companies and brands hiring agencies for dealer meets, launches, annual days and promotions.
  • Trades that work the same weddings: makeup artists and salons (see our beauty parlour and salon list guide) and restaurants that cater (see the restaurants and cafes list guide).

When and how to pitch

Events run to a calendar. Wedding dates follow the auspicious days of the Hindu calendar, so the busiest weeks shift from year to year and by region, though the winter months are busy in most of the country. Corporate events pick up around Diwali and in the last months of the financial year, when many companies use up what is left of their yearly budgets.

  1. Sell in the lean months. An event company chooses new equipment, partners and software between seasons, not while it is setting up three weddings a day.
  2. Call in the morning, before site work starts, and avoid weekends and the big wedding dates.
  3. Open with their season. For example: "Namaste, sir. I'm calling from a Delhi firm that rents LED walls and truss to decorators across NCR. Before the wedding season starts, would you like our rates for full-season hire, with a backup set on your busiest dates?"
  4. Show work, not words. Send photos and short videos of your setups on WhatsApp to those who have agreed to receive them; our WhatsApp marketing guide explains opt-in.
  5. Visit the godown. Tent houses buy from people they have met, and seeing their stock tells you what they lack.

Every sales call must follow the DND rules.

Questions people ask

What is the difference between a tent house and an event management company?

A tent house owns and rents equipment: tents, furniture, lighting and décor. An event management company plans and runs the whole event, hiring tent houses, caterers and others. Many tent houses now offer full planning too, especially in smaller cities.

Do caterers need an FSSAI licence?

Every food business, caterers included, needs FSSAI registration, and larger ones need an FSSAI licence. Ask for the number before you hire a caterer for a big event.

Which months are busiest for event companies?

For weddings, the auspicious dates of each season, which change every year, with the winter months busy in most regions. For corporate events, the weeks before Diwali and the January to March quarter. Check local dates before you plan a campaign.

Can I get event companies for one city?

Yes. Each trade is sold city by city where we have enough rows, and the list builder combines trades and towns into one file.
