Cold calling tips: the short version

Cold calling still works for B2B sales in India, because most owners, plant heads and traders answer their mobile and decide quickly. What separates a useful call from a wasted one is mostly preparation. The tips on this page come down to six habits:

  1. Call a narrow list: one trade in one city or region.
  2. Say who you are and why them in the first twenty seconds.
  3. Ask one question, then listen.
  4. Aim for a small next step, such as a sample, a visit or a short demo, not the order.
  5. Follow up on a fixed plan, and write down every outcome.
  6. Follow the DND rules and stop the moment someone asks you to.

This page is about the craft of the call. For word-for-word lines in Hindi and English, see our telecalling scripts; for working through a list day by day, see the 7-day calling plan; and for where calling fits beside LinkedIn and email, our lead generation tools guide.

Prepare before you dial

  • Know who decides in that trade. In a shop or workshop it is the owner. In a factory the purchase manager buys and the plant head often chooses. In a clinic it is the doctor, reached through the receptionist.
  • Look the business up for thirty seconds. A website, a Google listing or an Instagram page tells you what they sell, how big they are and whether they have just opened a branch.
  • Write the reason for the call in one line, in their terms: "spares delivered the same day in Peenya", not "a leading solutions provider".
  • Decide the goal. Most first calls should end with a date: a visit, a sample drop or a call back.

Timing matters as much as words. These are usual patterns, not rules, so note what works on your own list:

Who you callBetter timesAvoid
Factory purchase and plant heads10:30 am to 12:30 pm, 3 to 5 pmShift changes, the month-end dispatch rush
Traders and distributorsLate morning, once the shop is openThe first and last days of the month, when they chase payments
Shops and showrooms11 am to 1 pmEvenings and festival weeks
Doctors and clinicsBetween OPD sessionsOPD hours
CAs and tax practitionersOrdinary working weeksThe weeks before income tax and GST due dates

Monday mornings are weak for most trades, while Saturday mornings often find the owner of a small business at the counter.

Openers and objections, with example lines

The opener has one job: to earn the next thirty seconds. Give your name and company, a reason that fits this business, and a question. Three openers that work:

  • The neighbour opener: "Good morning, this is Arjun from Sai Hydraulics. We service presses for several units in your MIDC area. Who looks after machine maintenance at your plant?"
  • The trigger opener: "I saw that you have opened a branch in Wakad. A new branch usually makes payroll messy. How are you handling it now?"
  • The honest opener: "This is a sales call, and I'll keep it to one minute. We print school diaries and ID cards. Who decides on them for the next session?"

If a receptionist answers, ask for their name and for help: "Who handles packaging purchases, and when is the best time to reach them?" Next time, ask for that person by name.

An objection is often a request for a reason to keep talking. Agree, ask one question, and offer a small step:

  • "Send the details on WhatsApp." "Sure. So that I send the right thing, which product do you buy most of?" Then send it to that number only, because they asked.
  • "Send a quotation." "Happy to. For which size and what monthly quantity? I'll email it today and call on Thursday to go through it."
  • "We already have a supplier." "Most of our customers did too. Would a second rate to compare at your next order be useful?"
  • "Your price will be high." "It may be. Tell me what you pay now per piece, and I'll tell you honestly whether we can do better."
  • "Where did you get my number?" Answer truthfully, for example from a business directory or a list you bought, and offer to remove it. If they say yes, do it before the next call.

Four sample cold calling pitches

Each pitch is the part after the opener: what you do, for whom, and a question that keeps them talking.

1. Rooftop solar, to a factory owner

"We install rooftop solar for factories in Rajkot and Morbi. Owners usually call us when electricity has become one of their biggest costs. If you share your last two bills, I can send a rough saving estimate this week. Shall I?"

2. Payroll software, to an HR manager

"We run payroll, PF and ESI for manufacturers with 50 to 500 workers, so HR stops rebuilding the attendance sheet every month. How many people are on your payroll, and what do you use for it now?"

3. Uniforms, to a hotel

"We stitch uniforms for hotels in Goa, from front office to housekeeping, with your logo. Most hotels reorder before the season. When do you usually place the order, and who handles it?"

4. CCTV maintenance, to a school

"We maintain CCTV in schools across Lucknow, with a yearly contract and a technician within a day. Cameras often stop recording without anyone noticing. When were yours last checked?"

Follow-ups, and measuring what works

  1. Day 0: the first call. If they agree, send what they asked for within the hour, by the channel they chose. Our cold email templates help with the written part.
  2. Day 2 or 3: call to check it arrived and answer questions.
  3. Day 7: call with something new: a sample, a customer in their area or a revised rate.
  4. Day 14 and day 30: short check-ins, then a call each quarter unless they asked you to stop.

Give numbers that didn't answer two or three more tries at different times of day before you drop them.

Count four things every week: dials, connected calls, real conversations and next steps agreed, and compare them by trade, city and time of day. Results vary too much between industries to borrow anyone else's targets, so last week's figures are your benchmark. If one trade gives twice the next steps of another, spend next week on it. The list builder lets you pick the industries and cities that worked; these are our biggest All-India lists:

The rules: DND, consent and stopping when asked

  • Respect the DND register. Under TRAI's rules, anyone can block promotional calls and SMS on the National Customer Preference Register by calling or texting 1909. The rules follow the number, so a business owner's mobile is covered like anyone else's, and promotional calling at scale should go through a registered telemarketer. Our DND check guide explains how.
  • Don't use staff SIM cards for bulk promotional calling. Numbers used for unregistered telemarketing can be disconnected.
  • Ask before you message. WhatsApp's business rules expect the person's agreement first, so ask on the call and note the answer. See WhatsApp marketing for B2B.
  • Treat contact details as personal data. India's Digital Personal Data Protection Act, 2023 covers a named person's mobile number. Use it for a clear business purpose, keep a do-not-call column, and delete a number when asked.

This is general guidance, not legal advice. TRAI changes its regulations from time to time, so check its website for the current version.

Questions people ask

What makes a good cold calling script?

A short one: who you are, why you are calling this business, one question and a small next step. Write out the opener and answers to the five commonest objections, and speak the rest naturally.

How many cold calls should one person make in a day?

Fifty to eighty dials in two focused blocks is a workable day for one caller, as long as every call is logged. Beyond that, notes and follow-ups slip.

Is cold calling legal in India?

Calling a business about its work is common practice, but promotional calls must respect the DND register and TRAI's telemarketing rules, and you must stop when asked. When in doubt, take advice.
