What an HR database covers
An HR database is a contact list of the people who run hiring, payroll, training and employee benefits in companies: their name, company, email, mobile number and city. When people search for "HR data" they usually mean the same thing, though the phrase is also used for the employee records an HR team keeps, which are a different matter (see the questions at the end).
HR teams look different depending on the company:
- Large companies and MNCs have a CHRO, HR business partners for each division, and separate teams for talent acquisition, compensation and benefits, learning and development, and payroll.
- Factories, from Manesar to Sriperumbudur, have a plant HR or personnel manager who handles contract labour, statutory registers, canteen, transport and industrial relations.
- IT and services firms in Bengaluru, Hyderabad, Pune and Gurugram hire in volume and run large campus programmes.
- Small and mid-sized firms often have a single HR executive who reports to the owner, and the owner still signs off spending.
Who decides depends on what you sell. Recruiters choose job portals and agencies, the L&D head picks trainers, payroll chooses software together with finance, and the CHRO approves anything that touches every employee.
Free ways to find HR contacts
- LinkedIn shows names and titles for most HR people in larger firms. Phone numbers are rare, and connection requests from sellers are often ignored.
- Job postings on portals and company sites show which companies are hiring right now, sometimes with a recruiter's name. For staffing and assessment firms, that is a buying signal.
- Careers pages give an email address for applications. A sales pitch sent there is lost among CVs.
- HR associations and conferences, such as the chapters of the National HRD Network, bring HR heads together in person, a few dozen at a time.
- College placement cells know which companies recruit on campus and who handles it.
Each source gives part of the picture. A ready-made HR contact number list puts names, companies, mobiles and emails for a city in one sheet, which is what you need to reach a few hundred HR teams.
Our HR database: HR professionals and recruiters
Our HR Professionals list has 18,069 HR managers and executives in 128 cities. Almost every row names the person. Only 49% name the company they work for, so check the sample rows if the employer matters to you. It doubles as an HR email list, with an address for 90% of contacts, and 94% have a mobile number. Most contacts are in Mumbai, Bengaluru, Delhi, Hyderabad and Pune. Every list page has 60 sample rows and a free Excel download, and you can buy one of 9 cities instead of all of India.

Recruiters and other related lists

- Placement & Recruitment Agencies 50,390 contacts · 88% email · 98% mobile ₹1,999
What gets sold to HR teams
- HR and payroll software: attendance with biometric or face recognition devices, leave, payroll and statutory compliance for PF, ESI and the labour codes.
- Hiring services: staffing and recruitment agencies, job portals, assessment tests, campus hiring platforms and background verification.
- Training: soft skills, sales, leadership, fire safety and POSH awareness sessions.
- Benefits: group health insurance through brokers, meal and gift cards, wellness and counselling programmes.
- Employee services: staff transport, canteen and housekeeping contractors, uniforms and ID cards.
- Engagement: Diwali gifts, offsites at resorts near Lonavala or Nandi Hills, and annual day events.
Reaching HR teams without spamming them
- Match the season. Appraisals and increments usually run from April to June, campus hiring from August to December, festive gifting decisions in August and September, and next year's budgets from January to March.
- Avoid payroll week. The last few days of a month and the first few of the next go on salaries and statutory payments. Mid-week mornings, around 11 am, work better.
- Write as one professional to another. For example: "Hi Priya, I saw your openings for 40 field sales staff in Lucknow. We run background checks for FMCG distributors in Uttar Pradesh and return results in five working days. Shall I send a sample report?"
- Expect these questions: price per employee or per hire, data security and where data is stored, whether it connects to their HRMS or biometric devices, and two client references.
- Send small batches and honour every unsubscribe. HR inboxes are crowded, and Gmail and Yahoo expect bulk senders to authenticate their domain, offer one-click unsubscribe and keep spam complaints well below 0.3%.

Questions people ask about HR data
Is this an HR email list or a calling list?
Both, for most rows. Of the 18,069 HR contacts, 90% have an email address and 94% a mobile number. Email suits a first introduction to an HR team; keep calls for the people who reply or ask for details.
Can job seekers use an HR contact number list?
It rarely helps. HR people receive far more CVs than they can read, and an unsolicited call or bulk email from a stranger is usually ignored. Apply through careers pages and job portals, and ask former colleagues for referrals.
Is "HR data" the same as employee data?
No. This guide is about contact details of HR professionals. The employee records an HR team keeps, such as salaries and attendance, are personal data the company must protect, and no contact list contains them.
Can I combine HR managers with other contacts?
Yes. In the list builder you can pick HR managers and, say, CEOs in Pune and Nagpur, and get them in one Excel file. For the CEO side, see our guide to CEO and director lists.
